Recreation Reservation Coordinator


  • Be an ambassador for the resort and a liaison for the guest. Know and share information about the resort and its activities.
  • Assist guests with all needs that may arise in relation to their reservations.
  • Provide seamless service through accurate scheduling of guests requests.
  • Maintain Omni standards for cleanliness and general appearance of the workplace.
  • Keep inventory of office supplies
  • Keep clear and precise records of guest s activities.
  • Deliver desirable knowledge, typing and ability to operate P. O. S system.
  • Communicate recreational schedules, business levels and guest availability throughout the property.
  • Ensure property and departmental booking SOPs are communicated to guest and enforced (i. e. Cancellation Policies, Minimum Age Requirements, Parental/Guardian Supervision, Release Forms, ).
  • Establish a familiarity and understanding of various departmental software to ensure accurate guest activity bookings.

Hotel Specific Essential Functions:

  • Work with Director of Engineering and Department Heads to assess functionality and safety of recreational equipment.
  • Work with DoSM, Marketing and Operations Teams to promote recreational options, activities and specific events throughout the property as well as within the community, when available.
  • Evaluate effectiveness of exiting programs and identify areas where new programs are needed.
  • Manage contracts (LOAs) associated with recreation program.
  • Work with F&B Director to understand Open Table as well as seating capacities in the Outlets
  • Work with F&B Director to understand POS system
  • Work with the Director of Rooms to understand the Opera System and the Go Concierge System
  • Work with the Director of Golf to understand the Open Tee/Front Tee system
  • Work with the Director of Spa to understand the Spa Soft system
  • Achieve monthly revenue goals for the position as defined by the Director of Spa and senior property leadership
  • Implement Moments of Service (MOS) on every call
  • Reserve golf tee times, spa appointments, dining reservations, recreational activities etc. in all activity applications
  • Track success of sales efforts and revenue capture; share with appropriate personnel/management on an on-going basis
  • Process activity confirmations
  • Answer inbound calls; check voicemail/inbox and answer emails in a timely manner
  • Other duties as may be assigned by management
  • Provide daily, weekly, monthly and yearly reports regarding recreational activities, usage, revenues, costs and opportunities.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
